6. Extend Discovery Scope | Data Profiling and Monitoring

6.1 Activity Summary

Activity Description

Once the discovery and review process has been established, it should be scaled out to extend the discovered catalog of unstructured data to address further locations and repositories.

Goals

Address entire contracted data scope and build a complete view of sensitive data

Participants

Application Administrator, Data analysts, IT team

Pre-requisites

  • Discovery and cleanup processes established.
  • Configuration and preparation complete for additional locations.

Outputs

Prevalence and management of sensitive data understood.

6.2 Determine Data Source Paths

Identify appropriate Data Sources to partition the repositories on your inventory. Factors to consider include any logical segregation of data that already exists, volume of specific sub-locations and desired frequency of re-discovery.

6.3 Prioritize Data Sources

Prioritize the list of data sources using your own judgement, and that of the relevant data analysts, to reflect the likelihood that you may identify data that does not comply with the desired data profile.

6.4 Manage Collectors

The appropriate Deployment Architecture to cover target repositories was addressed during the preparation phase. If necessary, complete the deployment of on-premises Collectors in line with the schedule for adding Data Sources

6.5 Create and Monitor Data Sources

You can now steadily increase the number of Data Sources defined within the ActiveNav Cloud platform, following the prioritized list of Data Source locations.

As new Data Sources are added, the Application Administrator can monitor their progress and address any issues encountered. For instance, it is common to need to resolve inconsistencies in the expected permissions on content which can lead to a Collector failing to access some locations.

6.6 Manage Business Units

When a Data Source is complete, locations within the Data Source can be assigned to the relevant Business Units, or new Business Units can be created.

6.7 Direct Review Activities

As Data Sources are completed and Business Units are updated, you can direct the relevant users to begin review activities on the newly discovered data, via the relevant Business Units. In turn, the reviewers can generate exports of data for remediation to be routed through the process established for handling them.

6.8 Repeat to Complete Catalog

The process of adding new Data Sources, monitoring them, and delegating review activities can then be iterated to build out the catalog of unstructured data.

Next Step

Now you have built a catalog of your unstructured data with ActiveNav Cloud, and addressed the findings of the initial discovery, you will enter a monitoring and response phase. At this point you can use scheduled re-discovery of Data Sources to ensure that you do not allow re-growth of sensitive data risk within your unstructured data.
